The Commission is seeking an Ongoing APS5 Administration and Procurement Officer, Digital Health and ICT.

This is a fast-paced position that supports the work of the Digital Health Program within the Commission. Working to the Director, Digital Health and ICT, the position will work independently and with other staff in the Digital Health Team. This will include providing support for committee meetings, events, procurement, finance and working with the corporate areas within the Commission. As such, the position will suit a person who has excellent time management skills, is highly organised and can be flexible and cooperative in terms of working with different people and changing priorities.

Duties of the Administration and Procurement Officer will include, but are not limited to, the following:

  1. Undertake end to end procurement and contract management activities including financial administration via the Commission’s financial administration system (SAP) and processing of invoices.
  2. Support the administration of committees.
  3. Provide secretariat support to the work of the program and expert groups including organising venues and catering, coordinating papers and agendas and taking minutes as required.
  4. Assist with project management activities including monitoring and reporting on the progress of projects and updating Commission systems to reflect changes, where necessary.
  5. Maintain a range of databases including travel and contract registers and undertaking any related research as required (such as searching/checking contact details).
  6. Work with the Program Director to manage the program budgets and general cash flow tasks.
  7. Collaborate with team members and other program teams within the Commission to support the work of the team.
  8. Undertake electronic document management using TRIM.
  9. Other duties as required which may include projects and providing assistance to the Commission’s corporate functions, such as assistance with reception duties.

The successful candidate will have:

  • Experience in providing high quality administrative and corporate assistance, and knowledge of government processes and procedures.
  • Effective interpersonal, oral and written communication skills.
  • Demonstrated attention to detail and demonstrated time management and organisational skills.
  • Demonstrated ability to work independently, as well as within a team environment.
  • Extensive experience in word processing and proficiency in Microsoft Office programs, including Outlook, financial administration systems and electronic document management systems.
